CostFox is operated by Automation NC, a company registered in New Caledonia (France). CostFox helps restaurants read supplier invoices, track ingredient prices, record sales figures, and keep food-safety registers.

We collect the information needed to run your account: your email address, your restaurant name, and the settings you choose in the app.

When you use CostFox, we store invoice photos you upload or forward by email, the invoice data extracted from those invoices, sales figures you enter, ingredients, recipes, price history, and HACCP records you enter.

We also collect basic product analytics, such as page views and key app events, so we can understand whether the product works for early customers.

Your app data and uploaded invoice images are hosted in Supabase on AWS Sydney (ap-southeast-2).

The CostFox web app is hosted by Vercel.

We use Supabase for authentication, database, and storage; Vercel for hosting; Anthropic API to extract data from invoice photos; Resend for transactional email from noreply@costfox.app; and PostHog for product analytics.

Invoice extraction is processed through Anthropic API. Anthropic does not use API data to train its models.

PostHog analytics for this app is hosted in the United States.

CostFox uses essential authentication session cookies so you can stay signed in.

We also use first-party product analytics through PostHog to measure page views and app events. We do not send invoice contents, prices, or line-item data in analytics events.

We keep your account data while your account is active, unless we need to keep limited records for security, backup, or legal reasons.

You can delete your account yourself from Settings. Account deletion removes your restaurant data and uploaded invoice images.

Depending on where you are, you may have rights to access, correct, export, object to, or delete personal data under GDPR.

For Australian users, we also aim to handle personal information consistently with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).
